Why did my bill fail to export to Workamajig?

Here's how to fix a bill export fail to Workamajig in Bionic for Agencies.

In Bionic for Agencies you have the ability to Integrate with Workamajig (WMJ). Once integration is enabled you can export your Bionic orders and bills to Workamajig. If you receive an error that a bill failed to export, there are a few things to check to ensure your integration is configured properly. In this article, we'll cover how to fix Workamajig bill export issues.

Note: If your bill was already exported to Workamajig and you made changes afterward in Bionic, you will not be able to re-export that bill and its changes due to current Workamajig API limitations. To reflect changes, you will need to manually update the bill directly in Workamajig.

Check Your Workamajig Connection

First you will want to ensure your Workamajig integration is properly connect in Bionic. Here's a help article on how to Connect WMJ Integration.

Check Order in WMJ

It's important to note that in order to export a bill, you must first release the Order in WMJ. If you haven't done so yet, here's how to: Generate Orders in Workamajig


Check Your Workamajig Project Number
During the initial setup of your integration between Bionic and WMJ you mapped your Bionic campaigns via Workamajig Project Number. In Bionic, you will want to check to ensure a project number was mapped to the campaign and if the project number is correctly associated.

Here is how: Set Project Number on the Campaign Level.


Check Your Workamajig Vendor ID
During the initial setup of your integration between Bionic and WMJ you mapped your Bionic vendors via Workamajig Vendor ID. In Bionic, you will want to check to ensure a Vendor ID was mapped to the Vendor in Bionic and if it is correctly associated.

Here is how: Set Vendor ID on the Vendor Level.

Check Your Workamajig Media ID
During the initial setup of your integration between Bionic and WMJ you mapped your Bionic programs via Workamajig Media ID. In Bionic, you will want to check to ensure a Media ID was mapped to the Program in Bionic and if it is correctly associated.

Review Workamajig Export Errors

When an order export to Workamajig (WMJ) fails, Bionic will display an error message returned from Workamajig. Bionic Org Admins have the ability to see the logs and error info.

To review the export error message:

  1. Go to the Administration section.

  2. Click on Integrations.

  3. Select Workamajig.

  4. Go to Logs.

  5. Find the transaction and see Error Info.

TIP: If you have email notifications set to receive for Workamajig, there will be a link in the email directing you to the error logs. This can be updated by an Org Admin under the Settings in Workamajig Admin.

Common Workamajig Export Errors

If an order fails to export, you may see an error message returned from Workamajig (WMJ). These messages may appear technical, but they generally indicate a specific issue with the order, vendor or invoice data being sent to Workamajig.

Below are examples of bill export errors you may encounter and what they typically mean.

Matching Order Cannot Be Found

You may see an error similar to the following:

 "message":"A Matching order can not be found for the BLI"


This message indicates that Workamajig cannot locate the order that the bill line item (BLI) is attempting to reference.

This may occur if:

  • The order was not successfully exported from Bionic

  • The order was not released or generated in Workamajig

  • There is no remaining value on the order to apply a new invoice

What to do

  1. Confirm that the order was successfully exported from Bionic.

  2. Verify that the order was released or generated in Workamajig.

  3. Confirm that the order still has available value to apply a new invoice.

Invalid Media Plan Key

You may see an error similar to the following:

"message":"The value '[MediaPlanKey]' in field MediaPlanKey is not valid"
 

This message indicates that Workamajig does not recognize the Media Plan identifier being sent from Bionic.

Because this error originates in Workamajig, you will want to contact Workamajig Support to resolve the duplicate record before attempting the export again. Bionic Customer Support can help in connecting you with Workamajig Support.

Duplicate Media Plan Voucher

You may see an error similar to the following:

"message":"A Media Plan Voucher already exists for Invoice [Invoice Number]"
 

This message indicates that Workamajig already has a voucher associated with the invoice number being exported.

Workamajig prevents duplicate vouchers from being created for the same invoice.

Because this error originates in Workamajig, you will want to contact Workamajig Support to resolve the duplicate record before attempting the export again. Bionic Customer Support can help in connecting you with Workamajig Support.

Invalid Vendor Key

You may see an error similar to the following:

"message":"The value '[VendorKey]' in field VendorKey is not valid"
 

This error indicates that the Vendor ID in Bionic does not match a valid Vendor ID in Workamajig.

What to do

  1. Locate the vendor in Bionic.

  2. Confirm the Vendor ID configured in Bionic.

  3. Verify that the same Vendor ID exists in Workamajig.

The Vendor ID must match between both systems in order for the bill export to succeed.

Re-attempt Bill Export
Once you have added or updated any Workamajig IDs, you will want to re-attempt bill export.
