Manage Proposals

Here's how to use Bionic’s RFP management tool to manage and handle your proposals from vendors in Bionic for Agencies.

Learn how to effectively utilize Bionic's RFP management tool to review, compare, accept, reject, and close proposals from vendors. With this tool, you have the ability to thoroughly examine the details of each proposal and make decisions by either accepting or rejecting them.

Review a Proposal

You can review an RFP's proposals by accessing the Proposals Tab within a Campaign.

Here's how to access the Proposals Tab within an RFP:

  1. In a campaign, click on the Proposals Tab
  2. Click on the Proposal name you'd like to review and manage.

NOTE: You can also access your Proposals when viewing a specific RFP. There is a Proposal Tab within the RFP that will provide all proposals for that specific RFP.

Upon opening a proposal within an RFP, you will find it organized into three tabs: Overview, Line Items, and Flowchart:

Here is an explanation of each tab:

  1. Overview Tab
  2. Line items Tab
  3. Flowchart Tab

Overview Tab

The Overview tab provides essential information such as the vendor's rationale, proposal status, budget alignment, and any attachments they have included. It is also where you will Accept or Reject the proposal once you have reviewed the details in the Line Items tab.

This Overview Tab also provides an option to send a message to the Ad Sales team within Bionic.

Line Items Tab

In the Line Items tab, you can view the specific details of the placements provided by the vendor. The Line Items read just like the placements do in a Media Plan.

NOTE: It is sometimes easier to review proposals side-by-side, either in a spreadsheet or printed. You are able to download individual proposals to make the review process easier. You have the option to download the line items in an .xls format for easier review and analysis.

Flowchart Tab

The Flowchart tab offers a calendar visualization feature where you can customize and download it, similar to what you can do in a campaign's flowchart.

Accept a Proposal

If you find a proposal meets your requirements, you have the option to Accept it and add it to your media plan. By accepting the proposal, you will notify the vendor and the line items will be added to your media plan.

NOTE: Accepting a proposal does not mean placing an order, but rather adding it to your consideration set. This information is also communicated to the vendor. You can always make changes to the placement details in your media plan once you have accepted the proposal.

Here's how to accept a Proposal:

  1. Navigate to the Overview Tab of the Proposal.
  2. Click on Accept Proposal
  3. Add an optional message to the vendor in the Note to Vendor text box.
  4. Click Accept.

Once completed, the placements will be added to your media plan and the vendor will be notified.

 

Reject a Proposal

There may be times a proposal does not meet your requirements. There may be several reasons for choosing to reject a proposal:

  • If you wish to negotiate further and requests revisions to the proposal
  • If you do not wish to proceed at all due to it simply not being a good fit, being too late, or any other unspecified reason.

Here is how to reject a Proposal:

TIP: Expand upon your reason, especially if you would like to negotiate further. It's imperative for the vendor to understand why the proposal doesn't work, and what they can do to better meet your needs.

  1. Navigate to the Overview Tab of the Proposal.
  2. Click on Reject Proposal
  3. Select a Reason for Rejection.
  4. Include any additional information in the Response text box to provide further context or provide revision requests. 
  5. Select to Include or Not Include your contact information in the email response.
  6. Select your Disposition, if a Revised Proposal is welcomed or if the Decision to Reject is final.
  7. Check the checkbox to send rejection notification via email. *Strongly Recommended.
  8. Click Reject Proposal.

Close Your RFP

It is recommended to close an RFP once it no longer requires additional proposals. This process will help maintain organization and prevent further submission of proposals from vendors for this RFP.

Here's how to close a RFP:

  1. Navigate to the RFP's Overview Tab.
  2. Click on the Close button.

TIP: You can also close a RFP from the Settings Tab by using the Status dropdown and selecting Close.

NOTE: To re-open an RFP would be the same steps but in the case of a closed RFP, the button will display as Open.
