Manage Custom Task Names

Here’s how to manage custom tasks names in your administration settings in Bionic for Agencies.

Bionic provides Task Management functionality to help your organization manage those day-to-day "things to do" that are valuable to keep with your campaigns and plans. It can also help you manage Client and Company level tasks that may be helpful to live in your plans.

Tasks can be whatever you want them to be and can be associated at the Organization, Advertiser, Campaign or Line-Item level. The types of Tasks you want to manage can be created on-the-fly within Tasks tab of the section it relates to, as well as in the Administration section of your account.

The Administration section will help you manage ALL of the types of tasks you have out there.

Access Your Organization’s Task Names

Here is how to get to the Task Names tab to manage your custom task names:

  1. Click on Your Company Name in the Upper Right Corner.
  2. Click on Administration.
  3. Click on the Task Names tab.

NOTE: You must be an organization Administrator to manage Tasks Name in the Tasks Names tab.

Understand Tasks in Bionic

For each Task Name created in Administration, your users will be able to select that Task Name when adding a task on an Organization, Advertiser, Campaign or Line Item level.

Alternatively, any tasks created from any of those levels will also appear on this list of Tasks Names.

Each task has the following attributes:

  • Name – The name of the task.
  • Level – Identify where this Task name should be available. Task Names will only be available within their assigned level.
  • Time Required – An estimate of how much time the task will take.
  • Reminder – Sets a reminder ‘x’ number of days before task is due.
  • Status – Active vs. Inactive. Only Active Task Names will be selectable as tasks on the designated level.
  • Count – How many times the task has been assigned.
  • Created Date -Date of Task name creation.
  • Created By – The User who created the task name.
  • Default Description – A description of the task.

NOTE: When creating a task directly from a Level, you will have the ability to place a due date on the task.

 

Sort the Task Names Table

You can sort the Task Names Table in the Task Names Tab. Here’s How:

  1. Click on the Column Header you’d like to sort by.

Add a Task Name

Here is how to add a new Task Name for your organization:

  1. Click on Add Task Name
  2. Enter a Descriptive Name in the Name
  3. Select the Level the task applies to.
  4. Add the Estimated Minutes required to complete in the Time Required
  5. Set a Reminder for ‘x’ number of days before due date in the Reminder
  6. Set Status to Active (or Inactive).
  7. Optional: Add a description of this task for your users to better understand its usage.
  8. Click Add Task Name.

CAUTION: Once Level has been selected, it will not be editable.

NOTE: Tasks can also be created directly on a level, see Next Steps to create a task directly on a level.

Update a Task Name

Once a Task Name has been added, you can update its attributes (except for Level).

Here’s how to update a Task Name:

  1. Use the checkbox to select Task Name(s).
  2. Click Edit.
  3. Update the editable fields.
  4. Click Save Task Name.

TIP: If updating only a single task name, you can also get to the Edit Task Name form by clicking on the Task Name.

Delete a Task Name

Here’s how to delete a Task Name:

  1. Use the checkbox to select which Task Name(s) to delete.
  2. Click on the Delete button.

NOTE: Task Names can only be deleted if they are not in use (See “Count” in Table). If you wish to delete a Task Name that is currently in use, you will first need to delete all instances of the tasks. Alternatively, you can edit the task and switch to Inactive: Updating a Task Name.
